Terms and Conditions:

TROPIC SURF CAMP 2025

Understanding terms and conditions; “GCSE” is Gold Coast Surf Experience and “you”, “your” or “client” is the person reading, booking or attending the camp. By booking and surfing with GCSE you are aware and acknowledging that you have read, understood and agree to be legally bound by these terms & conditions set in place by GCSE and their insurance dealers.

General terms and conditions:

Confirmation of your booking and payment will be made to the nominated email addressand / or phone number provided. The person/s making the booking and signing form/s accepts responsibility of the payment and the well-being of everyone listed. You are responsible for ensuring that all other clients listed on your booking form have read GCSE terms and conditions and are fully aware of session detail/s and requirements. This will include signing a liability waiver.

Client participation liability / agreement:

Prior to the trip you will be required to complete a liability/waiver form. All clients must complete the form or they will not participate. Failure to do so, will result in no refund being given.

Compulsory Travel Insurance (comprehensive):

All clients in attendance must have comprehensive travel insurance for the 25th April - 4th May 2025 that covers the Sumatra/Indonesian area and covers for surfing injury and medical evacuation. Failure to do so, will result in being unable to attend the camp. In this case, any payments made are non-refundable.

GCSE will ask for proof of insurance before you attend the trip. Failure to do so, results in loss of spot on trip with no refund given.

We recommend insurance of your luggage also. This is at your own control.

International Travel / Visas:

You will need to pay for an international flight to Medan that arrives no later than the evening of 25th April 2025. We can help arrange flights from the Australian cities of Brisbane, Sydney and Melbourne.

You must attain an Indonesian travel visa. This can be applied for online or on arrival.

Please note we don’t cover this cost.

Failure to attain a visa will result in forfeit of payment with no refund given.

Local Law:

Please read our Info Pack for information on local culture.

Drugs of any kind are prohibited and can be punishable by death in Indonesia.

Alcohol is frowned upon and the local people don’t consume alcoholic drinks. You may drink inside the accommodation, in private areas when local staff or guides have deemed it appropriate.

Clothing: Clothes that cover thighs and shoulders to be worn at all times unless advised by local staff.

GCSE will not be responsible for any action taken against you.

Payment / Name Change / Refunding:

Information for accepted payment method/s are made available to you during the purchasing process . Some payment methods may only be available subject to additional conditions and / or fees.

All payments are independently processed through third-party services unrelated to GCSE. GCSE does not store or collate any card information.

If a payment through the available methods fails or is refused by a third party service provider, GCSE shall be under no obligation to fulfill a purchase order. If a payment fails or declines, GCSE reserves the right to claim any related expenses or damages from the purchase / you as the client.

A non-refundable amount of $900 AUD must be paid in order to reserve a place on the surf camp. You can change the name of a client if you wish to give away a spot on the trip. A minimum of 60 days before the commencement of the trip, the remaining funds must be paid. Once this is processed it is non-refundable. (Some exceptions may apply on an individual basis, determined by GCSE operators).

If you would like to set up a block of payments please inform us.

Refunds may be given on an individual basis decided by GCSE owners and operators.

Cancellation by GCSE, Time or Location changes:

We may postpone the trip in the event of unforeseen changes such as flu pandemics, threat of terrorism or natural disasters. If the trip you are participating in is postponed, we will contact you immediately to reschedule an alternative date. If a client cannot reschedule and the cancellation or postponement is made by GCSE, a credit transfer or full refund is made by GCSE to the client.

If ocean / weather conditions become unsafe during your a surf session, the coach/s may modify the surf sessions to suit conditions. All coaches are highly skilled and trained to make safe and precise decisions. Local guides will also help to make surf based decisions, these guides have over a decade of experience in this location.

GCSE is not liable for any incidental expenses that may have been incurred by a client due to weather including but not limited to events such as transport, public transport, flights, road works, busy traffic, accommodation, time off work. Etc.

Changes to GCSE cancellation policy may be occur by result of unforeseen circumstances .

Prices:

Prices may be subject to change in unforeseen circumstances. Current prices will be displayed within the GCSE website, social media links and all other available public places. Prices are and will always be in Australian dollars ($AU). No other currency is accepted by GCSE. GCSE will not match other surf school / instructors or camps prices at any time unless stated otherwise.

A $900 deposit is made. Followed by the remaining $2600 closer to the trip. If you wish to pay upfront, this is accepted. We will also accept payment in blocks between the deposit and final payment date.

Please note the deposit is non refundable and once final payment is made 60 days before the trip, this to, is non refundable at this time. This is because your spot is now taken at the camp.

You can name change and arrange payments between yourself and the new client.

Equipment / Surf equipment:

Clients are required to bring their own surfboard/s and all other valid equipment. Board and wetsuit may be arranged if a client doesn’t have their own equipment (this may come at a further cost). It is also very unlikely to find suitable equipment once on the island.

Damage to or loss of all / any equipment caused by negligence, malicious acts, or carelessness must be paid for at the time and at the current replacement value of the product. At certain times GCSE might provide but is not obligated to provide equipment.

We highly advise insurance of all luggage including surf equipment. Check with your travel insurance as they may not always cover luggage expenses.

A fee can apply at approximately $60-90AUD per board for domestic flights inside Indonesia. Please note GCSE does not include this in the pricing. You must pay for your own boards to get from Medan to Simeulue (both ways). We have covered the cost of the flight.

Able to paddle into your own waves and trim along the face of green faced waves up to head high. This is classed as an advanced beginner.

Please note that many of the waves in North Sumatra are over reef.

Privacy policy:

GCSE is dedicated to keeping your private and personal details private. Any information we collect in relation to you is kept strictly secured and not shown or used anywhere else. We use this information to identify orders and to provide you with the best possible service. We may use social media, webpages or phone numbers to contact you at certain times or under certain circumstances. GCSE will not share your details without your consent.

Photos /Videos Privacy Policy:

Any images / videos of you taken during the camp could be used by us without charge in all media for genuine promotional or marketing purposes. This is mentioned in our liability waiver, signed prior to surfing. This includes promotional material, brochures, imagery on social media, videos on social media, the internet, and social media platforms.

If you do not wish to be used in any promotional materials, services or platforms please inform us before the commencement of the trip.

Website, Social media platforms:

By entering a surf session having signed the liability waiver you agree to be used in all /any imagery on social media, webpages or any other platforms. By using GCSE webpages or platforms you agree to all terms and conditions set in place.
